Privacy Policy

This policy explains what personal information The Trapshooting Academy collects through its website, why we collect it, how it is handled, and the choices available to you.

POLICIES

Privacy Policy Terms of Use Cancellation Policy

1. Scope

The Trapshooting Academy (“the Academy,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy applies to personal information collected through our website and through communications you initiate with us through the website.

Some services used by or linked from our website, including online booking and the website virtual assistant, are provided through third-party platforms. Those services may have their own privacy policies and terms in addition to this policy.

2. Information we collect

Information you provide

When you contact the Academy or use an interactive feature on the website, we may collect information such as:

  • your name and email address when you choose to provide them;
  • the subject or type of your inquiry;
  • the message, chat text, and other information you choose to provide; and
  • information about how you heard about the Academy.

Technical and usage information

Our website and the services that support it may automatically process technical information such as IP address, browser and device information, referral information, pages viewed, and security or diagnostic data.

3. How we use information

We use personal information only for identified and reasonable purposes, including to:

  • respond to inquiries and communicate with you;
  • provide and operate the website virtual assistant;
  • route messages to the appropriate person within the Academy;
  • administer and improve the website;
  • maintain the security, reliability, and integrity of our systems;
  • understand how visitors find and use the website; and
  • meet legal, regulatory, accounting, or record-keeping obligations where applicable.
General inquiries are not treated as consent to receive marketing. If we offer optional promotional or newsletter communications, consent will be requested separately and you will be able to unsubscribe.

4. Contact form submissions

Information submitted through our contact form is used to respond to your inquiry and may be stored in our website administration system so that messages are not lost if an email delivery problem occurs.

Please do not include sensitive personal information in a general website inquiry unless it is necessary for us to respond to your request.

5. Website virtual assistant

The website includes an AI-powered virtual assistant provided by Chatbase. Use of the assistant is optional. When you use it, the text you submit and related technical or usage information may be processed by Chatbase and its service providers to provide the conversation, operate the service, and maintain its security and reliability.

Information submitted to the virtual assistant may be processed or stored outside Canada, including in the United States. Information in another jurisdiction may be subject to the laws and lawful access requirements of that jurisdiction.

Please keep chatbot conversations general. Do not submit sensitive or confidential personal information, payment information, government identification, health information, or personal information about another person or a minor. If your question requires personal information, please use the Academy’s contact form or email us directly.

6. External booking service

Online booking is provided through an external booking platform rather than through the Academy website itself. When you follow a booking link, information you submit may be processed by that provider and made available to the Academy for the purpose of administering your booking.

Please review the privacy information presented by the booking provider when using that service.

7. Cookies, analytics, and security technologies

The website and third-party services used by the website may use cookies or similar technologies that are necessary for site functionality, security, performance, analytics, or operation of interactive features such as the virtual assistant. These technologies may help us understand aggregate website usage, diagnose technical issues, and protect the site and its services from abuse.

You can control many cookies through your browser settings. Disabling some cookies may affect site functionality.

8. Service providers and disclosure

We do not sell personal information. We may provide information to service providers that support functions such as website hosting, security, analytics, communications, form processing, virtual-assistant operation, or booking administration. We expect service providers to use information only for the services they provide to us and to protect it appropriately.

We may also disclose information where required or permitted by law, or where reasonably necessary to protect the rights, safety, or security of the Academy, our users, or others.

9. Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, for legitimate operational or record-keeping needs, or as required by law. Retention periods may differ depending on the type of record and the service used.

10. Safeguards

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information we hold. No internet transmission or storage system can be guaranteed to be completely secure.

11. Access, correction, and privacy choices

You may contact us to ask about personal information we hold about you, request correction of inaccurate information, or ask us to address a privacy concern. Subject to applicable law and legitimate retention requirements, you may also ask us to delete information or withdraw consent where consent is the basis for the processing.

To make a privacy request, contact [email protected].

12. Information concerning minors

The Academy works with athletes of different ages. Where personal information concerning a minor is provided through the website, we may require a parent or guardian to provide or confirm consent when appropriate to the circumstances and the nature of the information involved.

The website virtual assistant is intended for general informational questions and should not be used to submit personal information about a minor.

13. Processing outside Canada

Some service providers may store or process information outside Canada, including in the United States. Information processed in another jurisdiction may be subject to the laws and lawful access requirements of that jurisdiction.

14. Changes to this policy

We may update this Privacy Policy as our website, services, or legal obligations change. The date at the top of this page indicates when the policy was last revised.
